Qualifications: Potential employees must meet the following requirements

  • Willing to work through an employment agency for at least the first year
  • Two to five years experience as a secretary for a General Contractor in commercial construction.
  • Excellent attendance; therefore dependability and reliability are mandatory
  • Live within 10 miles of our office
  • Must have own reliable transportation
  • Good communication skills and the ability to work well with superiors, clients, sub contractors and fellow employees.
  • Excellent computer skills with proficiency in MS Excel, MS Word and Contact databases.
  • Familiarity with ACT Database
  • Knowledge of construction procedures, construction terminology and how a construction business operates.
  • Must be a self-starter and motivated to learn new things.
  • Must have a pleasant voice with professional telephone skills.
  • Ability to handle stress and take constructive criticism in a positive manner.
  • Bookkeeping / Accounting experience
  • Good filing skills essential
  • Ability to prioritize and work at a rapid pace.
  • Good organizational skills with special attention to time lines and details.
  • Ability to compose professional letters using proper grammar,spelling and punctuation.
  • Experience working with blueprints.
  • Professional dress, with moderate attire.
  • Hours for full time

Responsibilities of position:

  • Answer phones (4 plus lines)
  • Taking phone messages
  • Good voice recognition skills
  • Open, sort and distribute mail
  • Prepare outgoing mail
  • Record and distribute faxes
  • Compose letters and documents
  • Assist in the bid process
  • Copying and mailing blueprints
  • Create spreadsheets and track documents
  • Assist Field Managers and track documents
  • Collect Asbuilts
  • Collect Warranties and make manuals
  • Order and track site services for jobs
  • Complete city applications (Dept. Building and Safety)
  • Collect and track all Subcontract or documents
  • Heavy record keeping, database maintenance, spreadsheet work and follow-up
  • Heavy filing (attention to detail essential)
  • Responsible for organization of file cabinets,supply rooms,and blueprints
  • Miscellaneous general office duties
  • Good Attitude, like people and enjoy the job (essential)
  • Light Bookkeeping/Accounting
  • Potential of being promoted in the future
